How To Scan Paper Records With A Smartphone

This blog post aims to help you digitalize paper medical records using a smartphone. Legible text will be recognized for paper records scanned using this method. This makes the records searchable later on, which is handy if, like me, you suffer from digital amnesia. I get pretty frustrated when you cannot search a physical piece of paper these days. :) For this blog post we will be uploading the documents to Zoafile.

You will need:

  1. A smartphone
  2. A well lit surface
  3. The paper records
Step 1 - Retrieve the Animal Import Email

Navigate to your animal and click “Add Entry” to locate the import email as shown below.

Step 2 - Download the Adobe Scan App

Click the link below to download the free iPhone and Android app.

Login to the Adobe Scan App and give the app permission to access your camera.

Step 3 - Scan and Import to Zoafile

Position the document on a well lit surface (a kitchen table with natural light works well). Angle the camera on top of the paper document. You may need to retake multiple times before you are satisfied with the quality of the image. Check out this Adobe Scan FAQ for more information on how to use the app.

Once you are satisfied with the quality of the scanned PDF:

  1. Click Share and then Share a copy
  2. Select your favorite email app
  3. In the To field, paste the unique animal import email from Step 1 above.

Allow up to 48 hours for the document to show up and Zoafile and be fully searchable.
